Our own front door runs on the product we sell

Haven's own platform: AI intake, client portal, and delivery operations — the first customer of everything we build.

Every new Haven project starts with a conversation with our own AI intake — the same architecture we sell, doing its job on our own front door.

Context

haventech.app is Haven's own platform: the Brain that runs project intake, the client portal where customers follow their builds, and the operational tooling behind both. We built it because we needed it — and because "we run our sales process on this architecture" is a better proof than a slide.

The problem

Agency intake is slow and lossy. Discovery calls get scheduled a week out, half the call is questions a form could have asked, and the notes live in someone's head. We wanted the first conversation to happen the minute a prospect shows up, and to end with structured information a human can act on.

What Haven built

  • The Haven Brain: a guided AI intake that turns a ten-minute conversation into a structured project brief
  • A client portal with project status, weekly demo notes, files, and messages in one place
  • Invoicing via Stripe, with the numbers visible to the client before they're a surprise
  • Guardrails that keep the Brain inside verified company facts — it quotes published budget bands, never improvised prices
  • The same monitoring and audit logging we ship to clients, pointed at ourselves

Results

Prospects talk to the Brain the moment they arrive, and proposals go out against a structured brief instead of scattered call notes. When a client asks whether AI intake actually works, the answer is the conversation they just had.

Build something like this

Ten minutes with the Brain turns your version of this problem into a structured brief — and a fixed-scope plan within 48 hours.
